The Official Charter for the Star Wars Costume Dynasty

Founding Date: December 29, 2016

The Sith Dynasty is an international Star Wars costuming organization by Star Wars fans. While Lucasfilm Ltd. does not sponsor it, it is a Lucasfilm Ltd. recognized group. Lucasfilm Ltd. approved use of their disclaimer by the Sith Dynasty on February 6, 2017.

I. Mission Statement

Established in December 2016 and LucasFilm Ltd. approved on February 6, 2017, we are a Star Wars based costuming organization. Our members comprise of Sith Lords, dignitaries from the dark side, bounty hunters, scoundrels, fallen jedi, dark jedi, and others from all forms of media to include: books, movies, cartoons, games and animation from the Star Wars universe.

We are a non-profit volunteer organization of costume enthusiasts who enjoy, express, and share their interest of costuming with others in the Star Wars community and focus on community outreach while promoting the Star Wars universe.

II. Non-Profit Organization

  • The Sith Dynasty is a not-for-profit organization.
  • The Sith Dynasty does not require yearly dues.
  • The Sith Dynasty's focus is on collections for charities around the world.
  • The Sith Dynasty's focus is on bringing smiles to children of all ages.

III. Representation

The Sith Dynasty comprises Sith Lords, dignitaries from the dark side, bounty hunters, scoundrels, fallen jedi and dark jedi, and others from all forms of media to include books, movies, cartoons, games, and animation from the Star Wars universe.

IV. Membership

Once membership has been granted to the Sith Dynasty, new members will be assigned a unique "SD number". Sith Dynasty members will always retain their SD number. However, to be considered active it is required that members attend, at minimum, one "Troop"** event per year.

**Attend, plan, promote, assist, and/or wrangle at any local Star Wars outing or large-scale event.

The High Dark Lord Galactic Inquisitor or the High Dark Lord Emperor/ess will notify members of events via the Sith Dynasty Facebook Page or the LFL Star Wars Fandom Blast email invite is also considered trooping on behalf of the Sith Dynasty.

What verification do I need to provide of attendance?
While we do trust every one of our members. You are required to provide photos of your participation or some other verified form of proof.

What happens if I do not perform in my Sith Dynasty capacity?
You will maintain your SD#, but you will be considered an inactive member until you do meet the trooping requirements.

Exceptions to the Trooping Requirements are as follows:

  • Unable to troop due to no events within 20 miles of my home.
  • Caretaker Duties of a family member.
  • Military and or First Responder Services.

V. Organization

  1. The Sith Dynasty recognizes that most activities will be on the local level. For this reason, the dynasty is organized into Temples based on geographical boundaries.
  2. The Sith Dynasty is a body comprised of Sith Dynasty Officers and representatives from the current Temples.
    • A. The Sith Dynasty Officers moderate the High Council.
    • B. The Sith Dynasty membership may bring issues of contention or concern before the Council through their Temple representatives or, in cases where their issues are with their Council representatives, through any other member of the Council (which includes High Council Officers or the Master Vanguard).

Creation of a Temple in your area:

The High Dark Lord Galactic Regent oversees the creation and list of temples and their boundaries.

Once two members express the desire and interest from the same Location, the process and planning can start regarding creating a temple. Both Sith Dynasty Designated Members must agree to hold one of the following three Dynasty Dark Lord positions:

  • Temple Regent
  • Temple Regents Right Hand (Executive Officer)
  • Temple Membership Inquisitor (Costume Approval Officer)

Temples are smaller regions located within each Sith Dynasty System. Temple will have their borders, Temple names, Crest, Banner, and Officers. Temples will follow the same protocol and guidelines within the Sith Dynasty Charter. Temples may not establish their own rules of operation.

Position One: The Temple Regent:

  • First in command of the Temple
  • Represents the Temple on the High Council

Position Two: Temple Regents Right Hand/Executive Officer:

  • Second in Command of the Temple
  • Represents the Temple on The Galactic Regents Council

Position Three: Temple Membership Inquisitor (Costume Approval Officer):

  • Third in Command of the Temple

Birth names, designation numbers, and character names of all Temple Officers are required by The Sith Dynasty. We will need the Officer position each member will fill. Temple Officers are in Dark Lord positions. All Temple Officer positions will reflect the duty descriptions of the Sith Dynasty.

Temples in which English is not the primary spoken language will be encouraged to work with the Brand/Merchandise Officer to translate English into their native tongue and will be accompanied by the Arabesh translation. However, all correspondence between temples, committees, officers, and the High Council will be conducted in English.

High Dark Lords

All positions under "High Command Officers" retain a seat on the High Council. These positions also retain the title: High Dark Lord.

Title: High Dark Lord Emperor/ess

Duties:

  • First to preside over High Council meetings
  • Last to cast a vote concerning any High Council business matters
  • Make every attempt possible to include as many High Command Officers as possible within meetings of the High Council
  • In the case of indecisions ties, and stalemate votes, this officer's decision will break the stalemate and be the deciding vote
  • Oversee and ensures the smooth running of the dynasty
  • Ensure all members are kept aware of dynasty business
  • Ensure that the Master Galactic Regent is informed of all dynasty business by maintaining regular and consistent communications.

Title: High Dark Lord Galactic Master Regent

Duties:

  • Act as the Emperor/ess right hand, and in the absence of the emperor/ess, to act as their voice
  • If the emperor/ess is not present, to preside over Dynasty High Council meetings, it will be the responsibility of this officer is to preside over any other Dynasty Council meetings.
  • Oversee and ensure the smooth, day to day, running of the dynasty
  • Ensure they are kept aware of dynasty business
  • Maintain regular and consistent communications between themselves and the emperor/ess
  • Make every attempt, to include as many Secondary Command Officers as possible within meetings of the Master Regents Council.

Title: High Dark Lord Galactic Intel Inquisitor (Public Relations Officer/Lucasfilm Liaison)

Duties:

  • Handle communications between Lucasfilm and the dynasty, within a dynasty wide format
  • Responsible for the submission, follow up, and approvals of SD LFL branded items
  • Ensure that all pertinent information from Lucasfilm is disseminated to dynasty membership.
  • Handle in-dynasty communications, meaning answering questions posed by dynasty members.**
  • Responsible for helping our members feel at home within the dynasty.

**Questions from dynasty members can encompass anything from finding general information on which discord discusses certain subject matter, to pointing members to the correct Officer to answer specific subject matter questions like: How do I submit a costume, how do I go about organizing an event, or how do I set up for an event?

Title: High Dark Lord Senior Membership Inquisitor (Chief Costume Judge / Costume Regulations / CRLS)

Duties:

  • Oversee and regulates all Costume Judges/Membership Inquisitors under their watch for the dynasty
  • Has final decision on costume approvals
  • Ensures the High Council is informed of any new costume submission(s) in which we require Costume Reference Library, CRL, updates.
  • Ensure that clear communications is maintained with members submitting costumes to the dynasty
  • Ensure that costumes are approved according to the regulations for approval in the CRL
  • Researching, building, and maintenance of the Costume Reference Library, CRL of the Sith Dynasty
  • Archiving CRLs within an Online Library available to all members & Potential Members
  • Informing the Galactic Master Regent of new costumes archived within the Library
  • Ensure that other Membership Inquisitors are educated and confident within the execution of the costume approval process

Title: High Dark Lord Sith Vanguard

Position: Discord, Social Media Content Moderator, Administrator of the Code of Conduct, and Keeper of the Charter
Duties:

  • Presides over trials within the group
  • Maintain contact with all other Vanguard for both the dynasty's forums and social media sites
  • Ensure that the Vanguards are keeping the MV informed about inappropriate Temple and dynasty social media content
  • Heads the process where members are brought up on charges or reprimands
  • Presides over inquisitions, trials, tribunals, or inappropriate Official Membership conduct upon the website, Discord, social media or within any temple, committee, or HC meetings.
  • Presides over inquisitions, trials, tribunals concerning charges levied against any of our Dynasty's Official Membership
  • Advises the High Council on verdicts and sentencing of offenders by the Vanguard team
  • Presides over, advises, modifies, and publishes any new regulations, orders, or amendments to the Sith Dynasty charter as required.

***If inappropriate content is delivered, this Officer will insure that before any such content is deleted, that it is screen capped or other wised photo captured before deletion.

Title: High Dark Lord Sith Alchemist

Position: Brand/Merchandising Officer
Duties:

  • Ensure that Brand standards, such as logo use and Imagery are kept to the standards set forth by the dynasty and LFL
  • In charge of receiving, creating, overseeing, and implementation of designs used on all dynasty merchandise****
  • Ensure that any designs submitted for approval by any dynasty member, are passed on for approval to the High Dark Lord Intel Inquisitor to be approved by LFL, before print or manufacturing proceeds
  • Once all designs have been approved find and work with LFL approved vendors for manufacturing, supply, and distribution of SD/LFL Branded items.
  • Takes care of general dynasty wide merchandising ensuring that it remains within LFL copyrighted realm, on-brand, and is provided to all eligible members for purchase at cost.

**** Designs include (but are not limited to) trading Cards, Challenge Coins, Badges, Patches, Honorary Membership Plaques, Certificates, Banners, Table Coves, Clothing and all dynasty promotional materials.

Title: High Dark Lord Sith Sorcerer/ess

Position: Website Development and PR Team
Duties:

  • Designs, Creates, and Maintains the Sith Dynasty website(s), social media, and Discord channels.
  • Disseminates new LFL invites to the SD outlets, Social Medial, Discord, or Blast Email, for visibility and response by members
  • Additions and deletions of information, and images to the website, social media & discord
  • Adding troop reports, news, or other pertinent information to the dynasty deemed worthy of showcasing on the website, social media pages, & discord

Command Officers

All positions under "Command Officers" do not retain a seat on the High Council. These positions report to their respective High Dark Lords. These positions retain the title: Dark Lord and report to the Galactic Master Regent.

Title: Dark Lord Membership Inquisitor

Position: Costume Judge | Number of Positions: 1 per temple | Report to: High Dark Lord Senior Membership Inquisitor
Duties:

  • Ensure communications are open and clear with potential membership
  • Help with the Membership's costume approvals via suggestions and ideas, knowledge, and anywhere else it is pertinent
  • Ensure all members submitting costumes are acknowledged and processed within a reasonable amount of time
  • Inform the Senior Membership Inquisitor of any new costumes that may need CRL's

Title: Dark Lord Vanguard

Position: Discord, Social Media Content Moderator, Administrator of the Code of Conduct at Temple Level | Number of Positions: 3 | Report to: High Dark Lord Sith Vanguard
Duties:

  • Intercept and respond to inbox messages on the social media page. If necessary, contact the High Dark Lord Sith Vanguard concerning inbox content
  • Approve new members onto the social media page
  • Monitor the forums and social media site for inappropriate content

Each Temple Vanguard will be assigned certain applications to monitor. In the case of our dynasty's social media site, each Vanguard will be assigned certain days for monitoring duty. If any given Vanguard is not available for duty times, they will correlate those times with another Vanguard.

Each Vanguard will be required to:
In the case of the social media:

  • Lock the content, screen capture or otherwise photo image any offensive materials. They will then relay the screen images and their location to the High Dark Lord Vanguard.
  • Make the content invisible to viewing, screen capture or otherwise photo image the material, and relay those materials and their location to the High Dark Lord Vanguard.

Title: Dark Lord Sorcerer/ess

Position: Graphic Designer/Web Designer | Number of Positions: 2 | Report to: High Dark Lord Sorcerer/ess
Duties:

  • Maintenance of the website and forums
  • Adding troop reports, news, or anything pertaining to the dynasty deemed worthy of showcasing on the website & forums

Title: Dark Lord Alchemist

Position: Branding & Merchandising Officer | Number of Positions: 2 | Report to: High Dark Lord Sith Alchemist
Duties:

  • First point of contact for any designs submitted by dynasty members/temples for approval, forwarding and approval to the High Dark Lord Alchemist.
  • Work with the dynasty members/temples to create designs used on dynasty merchandise****
  • Work with the temple regents to ensure proper branding and approval of all designs by LFL.

High Council Organizational Chart

High Council of the Sith Dynasty

The following is a description of the governing body of the Sith Dynasty, its membership and its duties.

Title: Emperor/ess High Council Membership:

  • All High Command Officers
  • All Temple Regents

Duties:

  • High-level strategy, oversight, and accountability of the organization
  • Oversee the day-to-day operations of the organization
  • Ensure prudent use of assets, including facility, people, and goodwill
  • Ensure that the nonprofit's activities and transactions are, first and foremost, advancing its mission
  • Recognize, disclose, and respond to conflicts of interest
  • Make decisions that in the best interest of the this nonprofit organization; not in the best interest of any individual dynasty member (or any other individual or for-profit entity)
  • Ensure that the nonprofit obeys applicable laws and regulations; follows its own charter; and that the organization adheres to its stated purposes/mission

Standard Operating Procedure of the High Council:

  • Discussion of any and all dynasty business will take place either via a council (FB) call, Web/Zoom Meeting, within the High Council Social Facebook Messenger App, or within the High Council Private Discussion Discord Channel.
  • There should be someone designated to take minutes concerning any official High Council business, or utilize the record feature in apps that have said capability.
  • After Council discussions, if a consensus is not met, a vote will be held. The highest number of votes for or against any given dynasty business subject will be the deciding factor.
  • The Emperor/ess will be the last one to vote, if majority has been reached prior to the last vote then the emperor/ess vote is optional.
  • If there is a tie or stalemate, the Dynasty Emperor/ess has the deciding vote on any issue.

Temple Leadership

The Temple Leadership Team reports directly to the High Dark Lord Galactic Master Regent.

Active Temples Include: Jen Ar'ii, Tennebrae, Dormund Kaas, Nar Shaadaa, Ambria, Batuu, Exogal, Estran, Dathomir, Mustafar (TBD), and Korriban.

Committees:

  • Charter Amendment Group
  • Social Media Website & Discord Group
  • Brand Merchandising Group

Duties:

  • The Emperor/ess can form committees in order to streamline issues within the dynasty that does not require the entire membership
  • Committees are for ease and standardization of issues within items such as the charter, code of conduct or costume review.
  • Amendments are worked out within the committees/groups. Once the committee has reached a majority agreement it will then be brought before the High Dark Lord Galactic Master Regent for their input and/or approval, before being voted on in the High Council.

VI. Elections

A. Requirements For Holding An Office Of Service Within The Sith Dynasty:
You must be an Official Member in good standing within the club, which means being an active Designated Member with no current charges levied against you.

B. Mandatory Requirements of Officers within The Sith Dynasty:
After accepting an officer position, you must log in at least one Official Club Troop a year. High Command Service: Must be at least 21 years of age. Command Service: Must be at least 18 years of age. Must have one Sith Dynasty designated costume in good repair and trooping condition.

C. To ensure the integrity of the club, if an Officer is minus a costume after a 6-month grace period, they will be removed from Office. As the Charter states, we will fill that vacant seat according to the protocol for replacing Officers. Please refer to Officer protocol within the Dynasty Charter for mandates concerning this Addendum.

  • Applicants may only run for one Officer position at a time.
  • Applicants desiring to run for Office must submit their intention to run for a position the month before the election process begins to the Master Intel Officer.

Election Protocol

Elections will be officially announced one month before the election begins. In the case of High Dark Lord Positions, this announcement will be placed on the club's social media site.

This thread will present each applicant s statement for the question and answering period of the election process. This will be a statement made by each applicant about why they desire the Office and why they feel they would be the best person to serve in the position.

The time allotted for perspective Officers to send a statement will be one week. Applicants will send their statements to the appropriate Officer designated to receive them.

Each applicant will have a one-week question and answer period.
During this time, Official Members may ask questions of the applicants. In the case of High Dark Lords, all Officially Designated Sith Dynasty Members may ask questions. In the case of Temple Positions, only the Temple Official Members may ask questions.

Voting will begin at the end of the one-week question and answer period. Voting time will last one week. Votes will be cast and tallied via a poll containing the Officers running for office. For fairness and transparency, vote counts will become visible as soon as you cast your vote. Members who attain the highest number of votes will earn the Offices.

Official Announcements of new Officers will be announced once Voting Has Ended.

Temple Elections

The Temple Intel Inquisitor is to report the names of all newly elected Officers to the Club's Intel Inquisitor. Officers serving a Temple must be visibly archived to the Members upon a thread within each Temple Forum.

Elections will be officially announced one month before the election begins. In thecase of High Dark Lord Positions, this announcement will be placed on the main forum boards and our club s social media site. Only members of any of the five specific temples will be allowed for their upcoming leadership.

VII. Policies and Amendments

This Charter will be amended when necessary by Charter Amendment Group via the Sith Dynasty High Council. Discussions for club-related business will be discussed and voted upon by the High Council.

The high vote will deem any amendments, deletions, or changes to the Charter. Any Charter amendment will be posted in a public forum for review. As amended, this Charter will be sent to LFL for archiving.

VIII. Merchandise and Branding

Part A: Merchandising and Public Relations Materials Oversight

VI.1. Merchandising and Public Relations Materials Oversight

All merchandise, public relations (PR) material, and promotional materials that are created for the use of the members of the Sith Dynasty to promote the club will adhere to the standards as defined in SOP S11: Merchandising and Public Relations Materials Requirements and Oversight.

VI.2. Public Relations Materials

Public Relations (PR) material is defined as any item whether printed, constructed, or digital, that is used to promote or advertise the Sith Dynasty, its Temples, or used as a give-away. No booth signage such as flags, banners of any kind, tablecloths or other items deemed belonging to the Sith Dynasty and or its temples are to be used as giveaways.

VI.3. Merchandise

Merchandise is defined as any item that is sold to a member for their personal use or collecting.

VI.3.A. Merchandising Requirements and Rules

Club merchandise can only be sold to designated persons. Merchandise and PR material (given to the public for free) cannot be sold, or traded/given for the purpose of resale to any others.

Designated persons include:

  • [1] Active Sith Dynasty members (and their household)
  • [2] Lucasfilm Ltd. employees

VI.3.A.i. Joint Club Merchandise

The Sith Dynasty permits the option of special joint-runs with fellow Lucasfilm Ltd. acknowledged costuming groups, provided the senior command staffs of the clubs agree and the run adheres to Sith Dynasty Merchandising and Public Relations Materials Standards. Sith Dynasty participation requires the approval of the Sith Alchemist, with the High Council having the final say.

The guidelines for these merchandise runs are as follows:

  • The Sith Dynasty and its temples may develop joint merchandise with other Lucasfilm Ltd.-acknowledged groups, the groups will be considered on a per-item basis.
  • Joint Merchandise must follow the same Sith Dynasty merchandise rules, guidelines, and approval process as all other Sith Dynasty merchandise requests.
  • The other LFL-acknowledged group(s) involved must also approve the design before production, and agree to adhere to the Sith Dynasty merchandise rules.
  • Members of all groups involved in the item are permitted to purchase the item at cost per Lucasfilm Ltd. guidelines.

VI.3.A.ii. Sales

Club merchandise can only be sold for the cost of producing and shipping the items. Shipping costs include postage, packing material costs (if special envelopes/materials are required), and payment processing fees. No profit can be made from regular sales.

Club Merchandise is required to be sold exclusively within the Sith Dynasty private Facebook page. Links to sales threads can be posted on off-site, but must include a disclaimer that these sales are for active members and other designated persons only. Members who do not have a Facebook account can ask their Temple Regent for relevant information pertaining to a merch run.

A Paypal account has been established solely for merchandise runs when a vendor is not able to fully handle all financial aspects of a run. This account is separate from the Vault and may only hold funds as necessary to complete a merchandise run. Once the run is completed the funds shall be transferred to the vendor. If the run fails for any reason, the members shall be refunded promptly. The PayPal for merch only is sithdynastymerch@gmail.com. Only friends & family payments will be accepted for a merch run. Payments made via goods & services will be refunded.

VI.3.A.ii.a. Interest Threads

Some sale leaders may choose to create an interest post to determine if there are enough people to do a particular piece of merchandise and set prices before opening a sale post. Members that express interest in purchasing merchandise in an interest post prior to the start of the merchandise run must either purchase that merchandise or tell the sale leader that they cannot do so anymore once the sale thread opens.

Every member who posts interest in merchandise must make every effort to follow through with payment before the sale ends unless they give or have given advance notification to make other arrangements with the person doing the merchandise run. Or in a worst-case scenario, if the member cancels the purchase altogether, they must communicate that to sale leader.

Note that a Sith Dynasty member is not required to make any purchases that they post interest in, but they must communicate their desire to; a) change quantity, b) make a late payment, or c) cancel the order altogether. This will ensure that the correct pricing is posted in the interest or sale thread for members making a purchase.

VI.3.A.iii. Prototypes

Incorrect pre-production prototypes cannot be sold. They can stay with the member organizing the sale, be sent to the Sith Alchemist to be kept in the Sith Dynasty archive, or given to Lucasfilm ltd.

VI.3.A.iv. Merchandise as Gifts and Prizes

Merchandise may be given as gifts to Legion Honorary Members, Event Coordinators/ Representatives, and charities/community organizations the Sith Dynasty works with. Including Sith Dynasty merchandise in gift baskets/raffles/event prizes must be approved by the Sith Alchemist prior to the event. Items to be given away for promotional purposes must still follow all merchandise rules. The designation of "PR/Giveaway Item" must be made known during the sale, so members know they are free to give those items to the public.

VI.3.B. Merchandise and PR Materials Archive

A digital archive of merchandise and PR material is maintained by the Vanguard and the Sith Alchemist, to keep copies of all merchandise produced, logos or graphics used in PR materials, and copies of all fliers, banners, cards, etc. used to promote the Sith Dynasty in advertising or publicity. This archive is accessible to the Sith Sorcerer, Galactic Intel Inquisitor, and to the Emperor and Dynasty XO.

VI.4. Sith Dynasty Fundraising and Donations

VI.4.A. Fundraising Within the Membership for Sith Dynasty Club Expenses

Club merchandise can be used to raise funds for Lucasfilm pre-approved fundraising projects to support SD expenses. These expenses include, but are not limited to, the following:

  • [1] Website hosting expenses
  • [2] Honorary membership material costs
  • [3] Membership award expenses
  • [4] PR materials costs
  • [5] Merchandise for Lucasfilm employees and the Sith Dynasty LFL archive
  • [6] Shipping costs for the above

Any fundraising cost above what's needed to produce said merchandise MUST be explained to the members prior to the fundraiser going live. For example:

  • Tshirt Fundrasier $35 per item
  • Tshirt cost: $20
  • Shipping cost: $10
  • Donation for PR materials: $5

Any Sith Dynasty Temple assets, which were paid for using Sith Dynasty funds or personal funds solely meant to donate to temple assets of the Sith Dynasty, are the property of that Temple and must be surrendered to the Temple Regent should a member in possession of it leave the Temple.

A PayPal account has been set-up at sithdynastyvault@gmail.com to collect donations to the Sith Dynasty for the sole purpose of paying the costs related to Sith Dynasty expenses. This account is controlled by the Emperor, the Dynasty XO, and the Sith Alchemist, so no one person will have sole access. Only friends & family payments will be accepted for donations. Payments made via goods & services will be refunded. An accounting of funds will be provided to any SD member upon request. Any usage of funds from this account MUST documented to and be approved by the High Council prior to being removed. Failure to adhere to this rule will result in the members' immediate termination of all Dynasty privileges and expulsion from the club.

VI.4.B. Donations within the Membership for Sith Dynasty Club Expenses

Donated money for Sith Dynasty expenses can only come from voluntary internal revenue raised within the Sith Dynasty's membership. Donations MUST go into the sithdynastyvault@gmail.com account. No donated monies to the Sith Dynasty can be held anywhere else. Failure to abide by this rule will result in the members' immediate removal from the Sith Dynasty. If toward the end of the calendar year the Vault has surplus funds, the High Council will determine the best way to disperse those funds.

Donations from the general public or outside corporations may not support operations, promotions, or support of the Sith Dynasty. Anyone caught doing this and or abusing PR and Merchandise for this purpose will be immediately expelled from the club. Any member with knowledge of such activities must report this to the Vanguard immediately.

SOP V1: Merchandising and Public Relations Materials Requirements and Oversight

These standards include, but are not limited to the following: any item print or paraphernalia that bears the Sith Dynasty logos, web address, or other LFL property such as fliers, banners, patches, pins, T-shirts, coins, clothing, trading cards, temporary tattoos, pens, key chains, or other miscellaneous merchandise.

S1.A. Sith Dynasty Branding

The Sith Dynasty brand is governed by the Sith Alchemist, and is overseen by the Dynasty Emperor and Dynasty XO.

S1.B. Public Relations Materials Requirements

Public Relations (PR) material is defined as any item whether printed, constructed, or digital, that is used to promote or advertise the Sith Dynasty, its Temples, or used as a give-away.as defined in VI.3A. Merchandising Requirements and Rules in the charter. Items that are given freely to members of the Sith Dynasty and not the general public are not PR material, as they would be considered "merchandise."

These items are required to be submitted and approved for use. Item production and quantity will be reviewed on a case by case basis by the Sith Alchemist and includes items such as stickers, fliers, trading cards, etc.

All Sith Dynasty public relations materials such as fliers, banners, business cards, postcards, FAQ sheets, applications, etc., whether printed or digital should follow these guidelines:

  • [1] Have an approved logo
  • [2] Carry the full website address www.sithdynasty.org and or a QR code that links to our website.
  • [3] Utilize standardized legible font typefaces. These will be approved on a case by case basis.
  • [4] Carry a Lucasfilm Ltd. disclaimer, as appropriate.
  • [5] Adhere to S11.C Merchandise Requirements.
  • [6] A vendor quote/invoice displaying cost breakdown, quantity, type of merchandise and any other relevant information such as sizing.

Current Public Relations materials are available for download from the PR Materials website link. Local Temple contact information can be added on request from the Sith Alchemist. All Temples are encouraged to show creative and innovative ideas when promoting the Sith Dynasty but should also endeavor to compliment the branding of the Sith Dynasty.

S11.B.i. Public Relations Material Approval

Public Relations materials can be submitted by any member of a Temple and require approval by the Sith Alchemist. Coordination with a members Temple Regent is highly encouraged.

S11.C. Merchandise Requirements

"Merchandise" is defined in VI.3. Merchandise as any item that is sold to an individual for their personal use or collecting.

  • [1] SD merchandise cannot contain any profanity, obscenity, or other features or statements that may be discriminatory or offensive. Merchandise must be family friendly.
  • [2] SD merchandise cannot contain or incorporate any part or image of the U.S.A. Flag. The use of other local and/or national flags is dependent on local laws and codes.
  • [3] SD merchandise must not be tied to any outside commercial entity or venture.
  • [4] SD merchandise must not misrepresent or misidentify its user/wearer in any role other than as a member or supporter of the Sith Dynasty. Garments may not have the text "Security" or "Staff" (in English or any other language) unless created with the full permission of an event organizer and labeled specifically for that event only.
  • [5] SD merchandise materials produced for Lucasfilm Ltd. sponsored events must have the approval of Lucasfilm Ltd. as well as have the copyright symbol, the title "LFL" or "Lucasfilm Limited," and the current year.
  • [6] SD merchandise must be professional looking. For apparel, artwork must be done in vector format.

S11.C.i. Merchandise Approval

Merchandise materials can be submitted by any member of a Temple and require the approval of the Sith Alchemist and LFL prior to going into production.

S11.E. LFL Threshold

All merchandise items are capped by agreement with LFL to no more than 350 units per production run. This number is subject to change per LFL and can be modified at any time. Official notice of any change in cap levels shall be posted on the SD private Facebook page.

Behavior Requirements

Lucas film acknowledges the Sith Dynasty. We portray and represent Star Wars characters to the public, with Star Wars being the acknowledged and legal sole property of Disney and LFL, the proprietor of all things Star Wars. Professionalism by our members will be paramount. The professional conduct of our members is nonnegotiable and is expected.

X. Donations

Receiving Donations, Turning In Donations, And Financial Reports

The Sith Dynasty cannot accept monetary donations from anyone outside of the Dynasty for any dynasty expenses. All monetary donations are 100% to be distributed to recognized charities only.

We are a costume club not a charity. As such we are not permitted to ask for any monetary donations for the use of temple activities. Any temple found doing so, Members in-charge of these activities will be asked to leave the dynasty, and their SD number will be retired. If a temple decides to receive donations for charity they are to follow the donations section of the charter to the T.

When becoming an Official Member of the Sith Dynasty, you agree that when portraying a Star Wars character outside of our Officially sanctioned events, you acknowledge that the Sith Dynasty holds no accountability nor responsibility for what you do on your private time in your costumes. The Sith Dynasty does not babysit our Official Members in any capacity.

The Sith Dynasty does not accept responsibility for any of our Designated Members conducting charity drives on behalf of themselves or other organizations. The Sith Dynasty does not accept responsibility for any of our Designated Members making private appearances in any format. TSD does not make official appearances at certain events unless there is a substantial donation to a local charity of $300 or more.

  • Charity appearances must not benefit the club members or the Sith Dynasty.
  • All Charity proceeds must be counted by at least three Designated Official club members. Those three witnessing Official Members must then sign off on the count, and then the Official Member responsible for turning the donation in must provide proof of the signing in the form of an image to the High Dark Lord Emperor.
  • The Official Member in charge of the Donation must ensure the donation makes it to the receiving Charity. As with all Charity appearances, there must be proof of the donation from the recipient of the charity in the form of a receipt. Recipient means The charity receiving the gift.
  • Receipts should be screen-capped or otherwise imaged and sent to the HDLE or other appropriate High Dark Lord. That Officer must ensure that all proofs of collections and donations are sent to the Senior Intel Inquisitor for archiving.
  • Never conduct charity collections at any venue or function, no matter where it is, without first speaking with the High Dark Lord Intel Inquisitor.

There can never be charity collections unless you have permission from a Sith Dynasty High Ranking Officer. At least two Official Members must be present. Charity collections must be approved via channels by first The Venue and second Club Senior Officers. We must have proof of any Character request on behalf of the charity. Not following this protocol can end in disciplinary action for the offender. This is considered a severe breach of protocol, which can land someone in personal Federal legal liability. The Sith Dynasty claims no legal nor moral responsibility on behalf of the actions of its members. Liabilities are the sole responsibility of the individual member.

After Fund-Raising Report for Appearances

A fun-raising report must be turned in to the High Dark Lord Emperor.

The person responsible for the troop will post the Charity report onto our social media site. Donations collected for charities at events will be directly presented to the charity officials by the approved Sith Dynasty Official member assigned responsibility for that task. All charity donations received by Sith Dynasty Official Members must include the following information:

  • The name of your Sector and Temple.
  • Your SD# and name: (ie: SD-001 Darth John Boy)
  • The legal name of your Temple Regent.
  • Your Temple Regents character name.
  • The name of the charity event and location: (ie: Cardinals vs. Reds game, Cincinnati, Ohio)
  • The name of the recipient Charity: (ie: Make-a-Wish Foundation received by John Doe)

This report must include the totals of actual money collected during the event and the venue's ending grand totals, (Efforts as a whole). The venue may have had its donations drive for the charity. Where our name was utilized during the event, that is also considered part of our collections as the encompassing event totals. The grand totals may take some time to receive as donations come into the venue over a few days. The responsible Sith Dynasty Senior Officer will archive the collections totals to the Dynasty's Social Media Site as they are received.
